This page outlines the process, resources, and reporting requirements for all University Advice Service (UAS) programmes. Please refer back to this page regularly. All linked forms and templates are stored here for ease of access.
Week 1
The first week is the most important stage of the UAS journey. This is when you establish a relationship with the student, gather all the information you need, and create the framework for their application programme.
⚠️ Remember: No reports should be shared with families until Whetstone has given Final Approval.

Each service has a suggested breakdown of hours. Mentors should adjust to individual student needs, but these outlines provide a framework. -
Introductions .
When we introduce you to a new student, you will need to:
1) Introduce yourself on the Whastapp group and arrange a time for the initial call2) Review UAS Request form shared by parent or guardian. This can be accessed via the student’s UAS Google drive file.

⚠️ Remember: No reports should be shared with families until Whetstone has given Final Approval (Stage 8) -
If a student requires an additional specialist as part of the chosen programme (e.g., interview prep, essay support, subject tutoring), please complete the request form below.
NB Standard programmes do not normally require Subject Specialists beyond the Mentors. For G5 and US applications, specialists usually employ 25%-50% of allocated hours. -
All student folders are set up on Google Drive by the admin team.
Your assigned folder contains:
1. UAS Request form (filled in by parent / guardian)
2. Programme Outlines
3. UAS Report templates
Please save all completed reports into the folder within 7 days of the initial call.

Programme Approval – Mandatory Step within 7 days of initial call.
Once your documents are ready:
1) Complete all draft reports and save them into the student’s shared Google Drive folder.
2) Email info@whetstone-tutors.com to say your reports and programme are ready for review and sending.

Ongoing support
Once your reports and plan have received Final Approval, you move into the Ongoing Support phase. This is where you ensure the student stays on track, meets deadlines, and receives targeted feedback at key moments.
s a Mentor, your role is to:
Provide detailed and timely feedback on personal statement and essay drafts.
Ensure students act on feedback by submitting revised drafts and maintaining progress.
Check that students are completing recommended activities, reading, and conferences.
Keep students on track with their Application Timeline milestones.
Identify and request any new specialist support as soon as needs arise.
Schedule regular check-ins ahead of key deadlines (e.g. UCAS, tests, interviews).
Save all updated documents and reports to the correct Google Drive folder.
Allocate your time evenly across the programme, avoiding front-loading or last-minute overloading.
Record monthly hours in the “Your Jobs” section on TutorCruncher and provide an end of month report.
